MEET CLASSIFICATION:  This meet is open to all USA Swimming athletes and clubs. 

 

MEET FORMAT:   This meet will be swum as timed-final events for the following age groups: 10 & Under, 11-12, 13-14, 15 & Over.  No relay events are offered.  There will be five sessions: one on Friday, two on Saturday, and two on Sunday.  The Friday evening session offers selected distance events (400 Free to 12 & Under and 800 Free to 11 & Over swimmers).  Saturday and Sunday morning sessions offer 12 & Under events while the Saturday and Sunday afternoon sessions offer 13 & Over events. 

 

SCRATCH PROCEDURES:  All sessions will be seeded after the positive check-in deadline before the start of the competition.  Coaches and swimmers must check-in with the Clerk of the Course no later than 45 minutes before the session is scheduled to start.  Heat and lane assignments will be posted and handed out to coaches prior to the start of competition.  Swimmers are to report directly to their assigned lane before their event and heat is called. 

 

FACILITY:  The Wolff-Zackin Natatorium is the home of the University of Connecticut men and women's swimming and diving programs located on the University’s main campus in Storrs, Connecticut.  The 39,000-square foot natatorium includes a six lane 50-meter 'stretch pool' with non-turbulent lane lines equipped with a Colorado Timing System, touch pads and an electronic scoreboard.  Spectator seating is available for approximately 800 spectators.

 

DISABLED ACCESS:  Handicapped parking and pool deck access are available through the rear entrances of the pool.  Contact the Meet Director for more information and special arrangements.

 

COURSE:  The course will be in long course meters (50 meters set up).

WARM-UPS:  CT Swimming warm-up procedures will be in effect.  The pool will open for warm-ups at 4:00 PM Friday evening, at 7:00 AM Saturday and Sunday mornings, and at 1:00 PM Saturday and Sunday afternoons.  Teams may be assigned warm-up lanes after all entries are received, and a warm-up schedule will be posted and distributed prior to the day of the meet.  The pool will be cleared approximately 10 minutes before the start of competition.  If the timeline allows for it and at the Referee’s discretion, brief five to ten minute warm ups breaks may be added periodically during a given session.

 

ELIGIBILITY:  All athletes must be 2009 USA Swimming registered athletes and must be registered before they will be allowed to compete.  Age on the first day of the meet shall determine the swimmer’s age and age group for the meet.  Any swimmer who is entered and is unregistered will be scratched from the meet until registration is completed.  All coaches must present a valid USA Swimming coach card to the Meet Director prior to the commencement of any sanctioned swim meet, and must have this card with them while on deck.

 

ADAPTED SWIMMING:  Any current athlete members of USA Swimming with a disability as defined by USA Swimming Rules and Regulations may enter this meet.  If modifications to USA Swimming rules are necessary then the coach or athlete must notify the meet referee of any disability prior to competition.

 

ENTRY LIMITATIONS:  Athletes may enter and swim in a maximum of 4 events per day. The fourth event (on Saturday and Sunday) for each swimmer must be circled on the hardcopy of your entry.   The 11 & 12 events for the 200 Back (#11, 12), 400 IM (#17, 18), 200 Fly (#35, 36), and 200 Breast (#41, 42) shall be made available for 10 year old swimmers who age up to 11 between June 19 and July 17, 2009 before the CT regional championships, thus giving these swimmers an opportunity to qualify.  The events have been set up in the entry file as 10-12 events only for this purpose.

 

ENTRY TIMES & UPDATES: All entries should be specified in long-course meters (50-meter pool) times.  Yard times should be converted to meters.  We ask teams to please not submit “NO TIME” for swimmers; a coaches ‘best guess’ is preferred over a NT in order improve the accuracy of the timeline.  Entry times may be updated through 6 pm on June 2, 2009.  No new updates will be accepted after that date.  Entry time updates should be sent via email to the entry chairperson, preferably in a CL2 or SD3 format such as the Hy-Tek update format.  No new entries will be permitted.  Updates may not contain new entries or the entire update will be rejected and returned.

 

DEADLINES:   Entry deadline is June 2, 2009. Mail hardcopy and payment to the entry chairperson: Cathryn Sundback at 87 Warren Avenue, Harvard, MA 01451.  All entries must be typed or printed legibly, must use full names and registration numbers from USA Swimming registration, and must include a completed and signed entry cover sheet.  The email entry date shall determine the date of each entry provided that the hardcopy and payment for the entry is received within five business days of the date of the emailed entry.  If the complete payment and the accompanying hardcopy are not received within the required five business day time limit, then the entire team will be withdrawn from the meet and the entry returned as not accepted, thus requiring that team to re-enter the meet in order to establish a new entry date

 

CONNECTICUT-ONLY DEADLINE:  CT deadline is May 15, 2009.  After May 15, other CSI and non-CSI team entries will be accepted as space is available, but all entries must be received no later than June 2, 2009.  The email entry date shall determine the date of each entry provided that the hardcopy and payment for the entry is received within five business days of the date of the emailed entry.  Please refer to “Deadlines” for complete description of entry date determination. 

 

ELECTRONIC ENTRIES:  Electronic entries (such as from Hy-Tek Team Manager or other team management software) that are in CL2 or SD3/SDIF may be emailed as an attachment to the entry chair: Cathryn Sundback at csundback@gmail.com.  Please check that your team name, address, and contact information are listed correctly in the file.  Please include the email address of your team’s contact(s) so all future meet correspondences can be sent to this email address.  The email entry date shall determine the date of each entry provided that the hardcopy and payment for the entry is received within five business days of the date of the emailed entry.  Please refer to “Deadlines” for complete description of entry date determination.  Deck entries will only be accepted if the meet is not designated as full on or before June 2, 2009 and then only if permitted by the meet director and/or meet referee. 

 

ENTRY FEES:  Entries are $5.00 for each individual event entered of 200 meters or less; and $7.00 per individual event entered of 400 meters or more.  Teams with 5 or more swimmers will be assessed $5 per swimmer if the entry is submitted on paper, without a disk, or emailed electronic entry in the standard CL2 or SD3/SDIF format.  No refunds will be given for entries that are rejected due to improper entry (e.g., meet fees will not be returned or credited to new entries for scratches or errors). 

 

PAYMENT INSTRUCTIONS:  Please make checks payable to “Greenwood Memorial Swim Club,” and mail a hardcopy of the meet entry, entry cover page, and payment to the entry chairperson: Cathryn Sundback at 87 Warren Avenue, Harvard, MA 01451.  Payment must be received by June 2, 2009.

 

CUT PROTOCOLS:  An effort will be made to fill the meet while staying within the required four hour session limitations by not over-accepting team entries based on date/time the entries are received.  As stated previously, the date of an entry is the date the email entry is received provided that the hardcopy and payment for the entry is received within five business days of the date of the emailed entry.  If the meet should become over-subscribed due to the last teams’ entries arriving on the same day therefore necessitating cuts, we shall first ask teams in reverse order of when the entries arrived to cut the fourth event for their swimmers until the timeline is within the four hour limit.  In other words, the last team entry to arrive (based on the email entry date) shall be required to cut the fourth event for their swimmers, and then the next last entry to arrive, and so forth until we achieve a satisfactory timeline.  The fourth event (on Saturday and Sunday) for each swimmer must be circled on the hardcopy of your entry.  If the timeline is still unsatisfactory, teams will be cut based on date of receipt.  For distance events (400 meters and above), the meet host reserves the right to make entry cuts by time.  Entry fees for mandated cuts will be returned.  Clubs will be notified of cuts no later than Monday before the meet.

 

RESERVE THE RIGHT TO MAKE CHANGES: The meet referee reserves the right to make any adjustments to the provisions of the meet announcement deemed necessary to ensure the fair and efficient running of the meet, with prior approval from Program Operations of Connecticut Swimming.  Clubs will be notified of cuts no later than Monday before the meet.

 

SAFETY:

  1. Diving is prohibited during warm-ups with the exception of one-way sprint lanes when announced.  There will no diving in the warm-up and warm-down areas at any time.
  2. No shaving is permitted at the competition site.
  3. Glass containers are prohibited in the pool area, especially on the pool deck and in the restroom area.
  4. Swimmers must be under the supervision of a coach.  If a swimmer arrives at the meet without a coach, the swimmer should notify the referee before he/she warms up.  The referee will assign the swimmer to a registered coach for warm-ups.
  5. No camera cell phones are permitted in the locker rooms.
  6. No flash photography at the start of any race.

Failure to abide by these rules and any other rules that may be announced or posted by meet officials during the meet may result in ejection from the facility.  Meet officials will watch for swimmers or spectators who violate facility regulations.  Horseplay will not be tolerated.  Parents must supervise younger children in attendance at the meet.  Meet officials have the authority to dismiss swimmers and spectators from the grounds.  Coaches are responsible for communicating this to both swimmers and parents.  No pets of any kind are permitted within the complex.  The University of Connecticut, Greenwood Memorial Swim Club, Connecticut Swimming Inc, and New England Swimming are not responsible for lost or stolen items.   

RULES:  Current USA Swimming rules will govern all competition.  Decisions by the meet referee will be final unless a written protest is lodged within 30 minutes of the heat swum.
 

TIME TRIALS:  Time trials will be offered at the discretion of the meet referee if time allows.  Time trials are $8.00 for individual events.  Time trial events count toward the total number of event limitations per session and will only include those events listed for the meet.
 

TIMERS AND OFFICIALS:  All teams are asked to provide an appropriate share of timers and officials.  The meet will be permitted to proceed only if a sufficient number of timers and officials are present as determined by the Meet Referee.  Please include with your entry a list of your team’s eligible officials, their phone numbers, and the session(s) they are available to work.  The host team referee for this meet will be Bob Menck and volunteer officials are encouraged to contact Bob at rmenck@ne.rr.com before the day of the meet.  Team warm-up lane assignments and timer/official goals will be emailed to team contacts prior to the meet, posted at the meet, and included in the coach’s packet. 

 

DECK ACCESS: Only athletes, coaches, officials, and official meet staff are permitted on the pool deck.  All non-athletes on the pool deck must display their USA Swimming registration card at all times.  Individuals without their USA Swimming registration card will be required to leave the pool deck.

 

SCORING:  The meet will be scored through 16 places in individual events per the following table:

AWARDS: Ribbons for 1st through 6th will be given in each individual event in each age group (10 & Under, 11-12, 13-14, and 15 & Over).  Medals will be awarded to the top three high point winners in each age group.  Awards will not be mailed or saved and must be picked up by the end of the Sunday afternoon session. 

 

 

FOOD & EQUIPMENT VENDOR:  A concession stand will be in operation for the duration of the meet, and possibly, a swimming equipment vendor will be selling suits, goggles, and other accessories at times during the meet if arrangements can be made.

 

HOSPITALITY FOR COACHES AND OFFICIALS:  A hospitality area for coaches and officials will be in operation for the duration of the meet.

 

MISCELLANEOUS: Programs: $5.00 per 12&U or 13&O (Saturday and Sunday morning or Saturday and Sunday afternoon) (2 sessions each); $3.00 per session.

Admission: There is no admission charge, as required by Connecticut Swimming.

 

PARKING:  There is ample parking available in the parking garage adjacent to the Wolff-Zackin Natatorium.  Do not park on the street in front of the pool facility. You will be towed.

 

Driving Directions:  The Wolff-Zackin Natatorium is located on the University of Connecticut campus at the corner of Hillside Road and Stadium Road.  Use the following street address to get directions from MapQuest or other internet mapping services: 2095 Hillside Road, Storrs, CT.

 

FROM HARTFORD: Take I-84 east to exit (68). Off the exit take a right on Rte. 195 south and follow signs to the university.  Once on the campus go right on North Eagleville Road. Follow ½ mile to first light.  Take left onto Hillside Road and pool is approximately one mile on the right next to the basketball arena.

 

FROM BOSTON: Approximately one and half-hours from Boston, take Mass Pike to Exit 9 and I-84 west to exit (68). Off the exit take a left on Rte. 195 south and follow signs to the university. Once on the campus go right on North Eagleville Road. Follow ½ mile to first light.  Take left onto Hillside Road and pool is approximately one mile on the right next to the basketball arena.
