Online Entries

Connecticut Swimming (CSI) has incorporated Online Entries into Connecticut FAST.  This provides web-based entries for CSI championship meets and includes such features as display of automatic qualifiers by club, custom time entry, relay-only selection, etc. Registration verification and time verification is automatic.

At this time Online Entries are available to CSI Clubs only.  Clubs access FAST Online Entries (OE) by logging into the Administration page of FAST. Connecticut athletes that are registered as CT-UN and are not affiliated with a club, should refer to the championship meet announcement for entry instructions. LATE QUALIFIER INSTRUCTIONS FOR FAST ONLINE ENTRIES
Instructions for club entry chairs. This feature pertains to Senior and Age Group Championships only.

1. Log into club administration page using FAST OE user id and password.

2. Click on "Now Accepting Entries From Late Qualifiers For Age Group Championship"  The date and time Late Qualifier Entries closes is posted at the top of the page. Date and time is based on the server's clock (not your's or your computer's).  Please refer to the Late Qualifier deadline published in the championship meet announcement.

3. The page will display: 1.) all individual late qualifiers in alpha order, 2.) relay chart, including original relay entries and, 3.) relay-only swimmers excluding relay-only swimmers from the original entry.

4. Click Save Entry at the bottom of the page. The late qualifiers will be designated by *LQ*.  You may go back and edit this entry up until the late qualifier deadline.

5. Your new billing total will appear at the top of the page.


 

UPDATES

06.18.08

Maximum time standards are now coded as "slower than" rather than "equal to and slower than". Minimum time standards remain as "equal to and slower than". This allows a single time standard file to be used for Age Group and Regional Championships.

Club entry builds now contain the option to "unselect" all events in addition to selecting all events.

Launched Late Qualifier Entries. This allows for club entry chairs to select late qualifying swims, within certain date parameters, and enter them into championship meets. Relays and relay-only swimmers may also be selected. A separate sd3 entry file is downloaded containing new swims only.

Upcoming enhancement: For Age Group and Seniors, Online Entries will handle late qualifiers.  Clubs will log in and select late qualifiers. Normal deadlines will apply. Corrections will be handled via email.

A table of UN clubs corresponding with each CSI club has been created and a sd3 export entry file created to export UN athletes to the associated UN club.  This allows unattached athletes to upload into Hytek properly for running a meet. End users must still manually move all unattached athletes to CT-UN at the conclusion of the meet so that the meet result export file contains accurate USA Swimming clubs.

Custom times may now be uploaded by *.sd3 file.  The file must contain USA ID numbers for athletes.  Times without an associated USA ID will not upload.  Times without associated USA IDs may be manually added by club entry chair.

Fix made to bonus events so that non-conforming times may be selected.

Pop-up added to warn user that too many bonus events were selected. This forces the user to go back and edit the bonus events for the names displayed.

Bonus Events have been added.

 IMPORTANT:  if you over-select the number of bonus events for one or more athletes, you will receive a message after you click Save Entry that says (for example): Too Many Bonus Events For Morgan Letendre  At this point you are still in the Build Entry page and you must go back and adjust the number of bonus events.  If you leave the page without correcting over-entered bonus events, you will lose any events you updated.

Remember- after a custom time is verified, you must go back into the Championship Entry page and select the custom times events and hit Save Entry.

The entry module has been modified to remove the arbitrary limits on the entry sizes.

The course now displays with the seed time on the View/Print page.

Please confirm custom times. Review your list of custom times.  Then go to Build Entry and select these events if they are to be part of the entry.  Hit Save Entry.

1. Display errors in View/Print on the Club main page have been corrected. Athlete names now display and print in alphabetical order, relay-only swimmer display/print in alpha order and relay gender assignment has been corrected. 
 
2. A new feature has been added to View/Print.  You may now link this page to your team's website or send the link to club members via email. The address is provided at the very bottom of the page.  By using this link, any updates you make your entry will automatically display (remember!! You have to hit Save Entry after making changes.) and the webmaster won't have to create an updated page.  We built non-guessable links for each team. Teams that do not want their entry viewed publically can use this as a hidden link or in email. If you want to use the link on a public page, you may. The option is yours.

Clarification- After a custom time is verified, you will see the green highlight "verified" in you list of custom times AND it the event will automatically appear in your entry and will be automatically checked as an entered event for that swimmer.

Reminder-  if you submit an Online Entry (OE) then please DO NOT mail any hardcopy or payment. You may pay online with a credit card.  CSI will invoice clubs that wish to pay by check.

1. Championship Entry portion of Online Entries was down temporarily from 11:30 PM 2/24/06 to 8:15 AM 2/25/06.  Championship Entry is now available.

1. Relay times entry error has been corrected.  Club may enter up to 108 relays (3 teams per relay event) and all times will stick.

 
2. Custom Times--   please follow the correct date format (for the date of the meet) and use slashes.  You will know a time was submitted if you get a yellow color block (below).  If you don't get the yellow block, then the custom time didn't upload.

UPDATE #1

1.  We have discovered a bug (the winner is Dan Mascolo, CDEV). Relay times will not hold after a certain number of relay times are submitted. If you enter some relay times and they disappear, then you have encountered the bug   If you have many relay times to enter, you may want to wait until tomorrow.  Dale Maine is aware of it and is working on it. 
 
3. Payment-  you may pay online with a VISA or MC.  If you prefer a check, then please wait until we invoice you.  For this season, we will bill clubs at the conclusion of the championship meets.  The invoice will include the original entry, corrections and late qualifiers.
 
4. DO EMAIL me your late qualifiers and corrections (after the deadline).   You may send a Word or Excel attachment or PDF or scanned file., etc.  
 
5. Custom times..........If meet results and referee name have not been sent to me, I will let you know.  Submit the custom time anyway, even if you haven't sent in proof yet. Email or call me about submitting proof. 

REMINDERS AND SUGGESTIONS

Please contact office@ctswim.org if you have lost your password. Please use good judgment about who has access to your club’s online entry. 

Things to do now:  

  1. Email office@ctswim.org out-of-state sanctioned/approved meet results and custom meet results to upload into the database. Custom results must contain USA ID numbers and be attested by a certified referee.
  2. If you do not have electronic results, please enter custom times manually. Email proof of time.  Please allow plenty of time for verification.  As you receive custom times, please enter them into OE. Don’t wait until the deadline.
  3. Please have all custom times in system at least 24 hours before entries close.
  4. Register all your athletes.
  5. Confirm that all transferring athletes are registered with your club or UN.

You may update your club’s championship entry as many times as you would like until the deadline stated in the meet announcement.  After the meet deadline, access will be denied for that meet.

IMPORTANT: Regular USA/CSI meets and "custom" meets are uploaded frequently into FAST.  As swimmers achieve championship cut off times, new events may be added (or, for Regionals, removed). You must open your entry and select the new events and re-save your entry.  New events will not be automatically selected. They will appear as un-selected.

Each club is provided a web link. You may post this link on your website and it will update in real time. 

Remember that the clock on the CSI server may not be the same as the clock on your computer. Please don’t wait until the last minute and if you are another time zone, plan accordingly.  The CSI server clock is on Eastern Time.

Multiple users from the same club may log on from different computers, but you cannot work simultaneously on the same entry. If multiple users work simultaneously, only the last user’s data will be saved.

Before you begin, it would be helpful to know who your unattached athletes are.  Athletes that swim with your club, but are registered as CT-UN (See Connecticut FAST), may be added to your entry.  During high school season, high school athletes that are registered with your club and need to be listed as unattached will be handled differently as explained in the users manual.

Remember, only currently registered athletes will be available in OE.  If a swimmer is not registered for the current year, you will not be able to enter that athlete.  Please forward registrations to Judy Snow immediately.  If an athlete is swimming on XYZ team, but a release has not been submitted, she will still appear with the old club or UN team. 

Championship birthday swimmers, corrections and adapted athletes will be handled via email to office@ctswim.org. or to the Regional Championship meet hosts.

Payments (clubs only) may be made online at https://shop.ctswim.org using VISA or MC.  There are no extra fees for the user. There will be a link in Online Entries.  Those clubs submitting checks must mail checks by the deadline stated in the meet announcement. We are using a third party (QuickBooks Merchant Services and Authorize.net) to handle all credit card payment.  No one from CSI will have access to credit card information and the numbers will not reside on CSI’s server.  Our SSL certificate is the highest level of security. 

You may prefer to work off a hardcopy of your club’s entry.  We recommend this because it should provide you a list of custom times.  All custom times must be proven and attested by a referee. Further instructions are listed below, under SUBMITTING PROOF OF TIME. Please read this carefully because time-sensitive information is stated.

CUSTOM TIMES ONLY

 

Times that automatically appear in Online Entries are proven and no further action is needed.  These are “automatic” times.  Times achieved at meets other than USA/CT Swimming meet, are considered "Custom Times" and must be attested by a referee certified by an organization such as USA Swimming, YMCA, CIAC, etc.. These times may be used to enter CSI meets.

Times that are submitted using “Custom Times” require proof.  These times and proof of time may be submitted 2 ways:

  1. For automatic file upload into FAST custom times table, email office@ctswim.org a meet database backup (zipped) and sd3 result file from the non-sanctioned/approved meet. Please provide the name of the certified referee attesting the results.  This may be a referee that is certified by any organization: USA Swimming, YMCA, CIAC, etc.

  2. Club entry chairs may manually enter times if electronic files are not available. Please see FAST Online Entries user manual for directions about manual entry. After manually uploading the times, please email to office@ctswim.org pertinent pages only of the results (just the pages with custom times on it) along with verification from the attesting referee. Pertinent pages may be faxed to 1-866-238-8660.
